- What You’ll Be Responsible For
- Job Costing & Profit Tracking
- Review every completed job for accuracy
- Match invoices, labor, materials, and change orders to each job
- Ensure true job cost is accurate before final closeout
- Identify jobs with margin issues and flag them immediately
- Job Auditing
- Audit job files from start to finish (estimate → production → final invoice)
- Catch missing invoices, incorrect charges, or billing errors
- Verify all materials and labor are properly accounted for
- Ensure documentation is complete and organized
- Accounts Payable Oversight
- Review and approve vendor invoices for accuracy
- Ensure proper coding to jobs and cost categories
- Work closely with bookkeeping to keep everything clean in QuickBooks
- Prevent duplicate or incorrect payments
- Job Closeouts
- Ensure every job is closed out properly and completely
- Confirm all costs are entered before closing
- Work with production and office team to resolve discrepancies
- Maintain clean, accurate job records
- Process Improvement
- Identify breakdowns in systems or workflows
- Recommend better ways to track costs and prevent errors
- Help tighten up processes between sales, production, and office
- Reporting & Communication
- Provide clear updates on job profitability
- Flag issues quickly—don’t sit on problems
- Work directly with leadership to improve financial performance
