The Legal Operations Specialist will be responsible for optimization of legal department operations within Legal Department. This role will contribute to legal department operations’ optimization, working closely with legal, IT, finance, compliance, and business to ensure workflows are clear, legal tools are implemented and fully utilized, and the department works efficiently and smoothly. In addition, you will support budget management, process optimization, supplier management, and data collection and analysis.
- Your responsibilities will include:
- Design, implement, and refine legal processes to support a fast-growing organization.
- Evaluate current workflows and identify opportunities to improve efficiency, consistency, and cross-team collaboration.
- Take ownership of existing legal tools and platforms, ensuring they are configured, adopted, and used to their full potential.
- Choose and implement legal tools/technologies.
- Support contract lifecycle management, matter management, knowledge management, and other core legal operations functions.
- Lead and execute change-management activities, ensuring smooth adoption of new processes, tools, and ways of working.
- Partner with legal, IT, finance, compliance, and business stakeholders across regions to streamline how information flows throughout the company.
- Lead and support projects such as tool rollouts, process redesigns, policy updates, and automation initiatives — including those involving AI.
- Track key metrics and generate insights to support planning, resourcing, and continuous improvement.
- Process optimization, and data collection and analysis.
- Assisting in budget management and supplier management for Nebius legal department.
- We expect you to have:
- This role demands a higher professional education (HBO) level of expertise.
- At least 5 years of experience in a Legal Operations-focused role.
- A process-obsessed problem solver who loves building structure, clarity, and efficiency.
Strong proven knowledge of implementing AI tools and workflows within a legal department (e.g., contract review automation, knowledge management automation, document intelligence, payments for external services and the development and maintenance of comprehensive contract playbooks).
- Ability to manage multiple tasks, prioritize effectively, and thrive in a fast-paced environment.
- Fluency in English at a professional level — both written and spoken — is essential.
- Strong understanding of legal technology (CLM, document management, knowledge management tools, etc.) and the ability to drive high adoption.
- Great knowledge of and experience with Jira, Confluence, Slack, ZIP, NetSuite are a must.
- It will be an added bonus if you have:
- Good knowledge of and experience in implementation and using Gatekeeper, OneTrust, Dow Jones, Harvey and Spellbook will be a good plus.
- Project Managing and coding capabilities are an advantage.
