As Receptionist (m/f/d) , you will be the first point of contact for our company, ensuring an exceptional experience for all visitors and employees. Based in our Munich Headquarters Office, you will manage front-desk operations, provide administrative support, and collaborate closely with the Facilities Management (FM) team. Your role combines operational excellence with a hospitality mindset, creating a welcoming and professional environment.
This role is offered as a 1-year fixed-term contract (parental leave replacement), with the possibility of extension.
About the Role
- Deliver a warm, professional welcome to guests, visitors, and employees, ensuring a positive first impression.
- Manage front desk operations, including visitor access, reception activities, and smooth handovers between shifts.
- Handle incoming calls and inquiries, redirect requests, and provide assistance in person, by phone, and electronically.
- Process and distribute incoming/outgoing mail and packages, acting as the primary contact for mail-related inquiries.
- Issue and track key cards for visitors and employees and manage access systems securely.
- Respond promptly to emergencies (ambulance, fire alarms, police inspections) and follow established procedures.
- Support FM team with office supplies, events, and coordination of contractors and tenants.
- About You
- Experience: 2+ years in a receptionist, front office, or guest-facing role
- Language Skills: Fluent German and English
- Customer Service Mindset: Warm, approachable, and committed to creating a positive experience for guests and employees
- Problem-Solving & Resilience: Calm and structured approach under pressure, with ability to manage competing priorities
- Proficient in PC use; able to stand, bend, and lift up to 15 k
