The Real Estate Administrative Specialist (m/f/d) is responsible for leading the real state administrative functions and ensuring compliance with all the main processes and functions involved, focused on property administration and documentation management, including tracking contracts, permits, licenses, payments and compliance.
- The ideal candidate supports coordination and follow-up for infrastructure development, facilitate relations and communication for project coordination promoting Flix's expansion objectives.
It’s a key position to ensure compliance and sustainability across the different sites that are part of Flix’s infrastructure, helps to align with the main stakeholders (including local and external players), and actively supports the accounts payables process.
- Oversee the validation of legal documentation to determine the viability to secure the property's accreditation and contract execution and coordinate with owners, developers and legal teams to facilitate contract formalization.
- Maintain a centralized and real-time matrix of all properties, including contracts, permits, contact details and key dates, providing visibility and proper tracking.
- Maintain an updated record of all active licenses, permits and authorizations, including their validity periods, associated conditions and renewal requirements.
- Manage and monitor multiple infrastructure and accessibility projects simultaneously, ensuring timely execution and cross-departmental collaboration.
Follow up on and escalate deviations, delays, or non‑compliance in the processes under this role’s coordination (e.g., permit processing, documentation collection, renewals, regulatory filings), ensuring the appropriate teams have visibility and are engaged in resolution.
- Facilities & financial oversight: Ensures fulfillment of all monthly site obligations (rent, utilities, services), alignment with contracts, coordination with Finance, and acts as the primary contact for external issues.
- Procurement support: Maintains close communication with Global Procurement and handles administrative coordination and documentation tracking for vendors and services.
- About You
- Bachelor’s degree in business administration or related field.
- Minimum 5 years of experience in corporate real estate and commercial expansion, preferably in sectors such as retail, hospitality, convenience stores or similar.
- Knowledge of documentation and legal processes related to land (deeds, lease agreements, property taxes, water services, etc.)
- Ability to interact in a fast-paced environment with multiple stakeholders.
- Strong analytical and quantitative skills.
- Excellent communication skills.
