The Real State Administrator (m/f/d) is responsible for leading real estate administrative functions and ensuring compliance with key processes related to property management and documentation. This includes tracking contracts, permits, licenses, payments, and regulatory requirements. The ideal candidate will support infrastructure development coordination, facilitate communication among internal and external stakeholders, and actively contribute to Flix’s expansion initiatives. This role is essential to ensure compliance, operational continuity, and sustainability across all Flix sites, while also supporting the accounts payable (AP) process.
- Oversee the validation of legal documentation to determine viability for property accreditation and contract execution.
- Coordinate with owners, developers, and legal teams to ensure proper contract formalization.
- Maintain a centralized, real‑time property matrix including contracts, permits, key contacts, and critical dates.
- Keep updated records of all licenses, permits, and authorizations, including validity periods, renewal requirements, and associated conditions.
- Manage and monitor multiple infrastructure and accessibility projects simultaneously, ensuring timely execution.
- Follow up on and escalate deviations, delays, or non‑compliance in processes such as permit management, documentation collection, renewals, or regulatory filings.
- Ensure all relevant teams have timely visibility and remain engaged in issue resolution.
- Ensure fulfillment of monthly obligations for each site (rent, utilities, services).
- Verify alignment with contracts and collaborate with Finance to ensure correct payment execution.
- Serve as the primary contact for external parties regarding property‑related issues.
- Maintain close communication with the Global Procurement team.
- Coordinate administrative processes and documentation tracking for vendors and services.
- Facilities & financial oversight: Ensures fulfillment of all monthly site obligations (rent, utilities, services), alignment with contracts, coordination with Finance, and acts as the primary contact for external issues.
- Procurement support: Maintains close communication with Global Procurement and handles administrative coordination and documentation tracking for vendors and services.
- About You
- Bachelor’s degree in business administration or related field.
- Minimum 5 years of experience in corporate real estate and commercial expansion, preferably in sectors such as retail, hospitality, convenience stores or similar.
- Knowledge of documentation and legal processes related to land (deeds, lease agreements, property taxes, water services, etc.)
- Ability to interact in a fast-paced environment with multiple stakeholders.
- Strong analytical and quantitative skills.
- Excellent communication skills.
